Gather & Go Booking Policy
Welcome to Gather & Go! We’re excited to have you join one of our curated travel experiences. Before booking, please review our Booking Policy to understand payment terms, cancellations, and other important details.
1. HOW TO BOOK A TRIP
Step 1: Fill out our Travel Profile – Since our trips are small-group experiences, we want to make sure it’s the right fit for you!
Step 2: We’ll review your profile and reach out personally to chat about the trip.
Step 3: If approved, you’ll receive an invoice for your deposit to secure your spot.
Spaces are limited, and spots are filled on a first-come, first-served basis!
2. PAYMENT TERMS & OPTIONS
Deposit:

A non-refundable deposit is required to reserve your spot. The deposit amount varies by trip and will be specified during the booking process.

Your spot is not confirmed until we receive your deposit.
Payment Plans:

We offer flexible payment installments to make travel more accessible. If you opt for a payment plan, details will be provided at booking.

Final payment is due [X days] before departure (exact date provided upon booking).
Accepted Payment Methods:

We accept credit/debit cards, PayPal, and bank transfers.
3. CANCELLATION & REFUND POLICY
If You Cancel:

Deposits are non-refundable.

If you cancel after making full or partial payments, you may be subject to cancellation fees based on how close your cancellation is to the trip departure date.

To recover any lost funds due to cancellation, we strongly recommend travel insurance.
If Gather & Go Cancels or Modifies a Trip:

In rare cases where we must cancel or significantly modify a trip due to unforeseen circumstances (e.g., natural disasters, political unrest, pandemic restrictions), we will offer:
A credit toward a future trip, OR
A partial refund, depending on circumstances. -
We are not responsible for any personal costs (flights, insurance, visa fees, etc.) incurred by the traveler in case of trip cancellation.
4. TRAVEL INSURANCE (MANDATORY)
All participants are required to purchase travel insurance that covers:
Trip cancellations
Medical emergencies & evacuation
Lost baggage & travel delays
Gather & Go is not responsible for any personal losses due to trip interruptions. Proof of travel insurance may be required before departure.
5. RESPONSIBILITY FOR FLIGHTS & TRANSPORTATION
Flights & transportation to/from the trip start location are NOT included. Travelers are responsible for booking their own airfare and ensuring they arrive at the designated meeting point on time.
If your flight is delayed or canceled, you must coordinate your own transportation to meet the group. No refunds will be given for missed portions of the trip due to personal travel disruptions.
6. CODE OF CONDUCT & REMOVAL POLICY
Gather & Go trips are designed for respectful, open-minded travelers. By booking, you agree to:
Be courteous to fellow travelers and trip leaders.
Respect the local culture, customs, and laws of the destination.
Avoid disruptive behavior, harassment, or excessive intoxication.
Gather & Go reserves the right to remove any participant who violates these guidelines, without refund.
